Question 1

Sending rules and mailbox health

Accepted Answer

Mailboxes

Sending rules and mailbox health

Workspace sending rules

Administrators set these in Workspace settings → Sending rules:

Rule

Default

What it does

Daily limit per member

50

The most emails each member sends per day

Pause between sends

45 seconds

Spaces emails out like a person sending them

Verify addresses before sending

On

Skips undeliverable addresses and holds risky ones for review

Check for replies

Every 10 minutes

How often replies are fetched

Per-mailbox delivery controls

On each mailbox you can set:

A daily limit for that mailbox
Auto-pause: the mailbox pauses after repeated failures, with a failure threshold you choose
A DKIM selector, then Check records to check your domain's email records

Mailbox status

The Health tab shows each mailbox's state:

Sending paused: sending stopped, usually after failures or an uncertain delivery. Review the cause, then click Resume sending.
Disconnected: sign in with Google or Microsoft again to reconnect.

If a delivery can't be confirmed, the mailbox always pauses so the same email is never sent twice.

Question 2

Import and export CSV files

Accepted Answer

Prospects

Import and export CSV files

Open Import / Export in the sidebar. Click Blank template to download a CSV with the right columns.

Import

Upload: pick a CSV or TXT file up to 10 MB.
Map columns: common header names are matched for you. You must map either a domain or a company column. Rows with neither are skipped.
Review: check duplicates and choose what happens to rows that already exist:

Skip them (default)
Update research fields: fill in blanks and refresh notes

Done: see the import summary. You can add the new prospects straight to a draft campaign.

Optional: Tag every imported prospect and Assign to a teammate before you import.

How duplicates are found

Prospects are matched by email address.
Without an email, they're matched by domain plus contact name.
Duplicates inside the same file are merged.

Time zones

Use names such as Europe/Berlin or America/New_York. Invalid time zones are flagged before import.

Export

Click Export all. The export follows the filters you have on the prospect list and includes outcome, owner and dates.

Question 3

Business profile

Accepted Answer

Writing emails

Business profile

The business profile tells the AI what your company does, so drafts describe your offer correctly. Open Workspace settings → Business profile. Only administrators can edit it.

Sections

Your business and customers

What do you sell?
Who is it for?
Why do customers choose you?

Evidence and writing style

Claims you can use
Customer examples and results
Examples of your writing

Only add claims and results that are true. The AI treats them as facts it may use in emails.

Fill from your website

Enter your website address (it must start with https://) and click Read site.
Reach-book.com reads your homepage and up to four public pages such as About and Pricing.
Review the suggestions. Click Apply all, or Replace fields one by one.
Click Save business profile. Nothing is saved before this.

Reading the site uses a little of your AI allowance. It never fills Examples of your writing, because website copy isn't how you write emails. Sites that only load with JavaScript may return little text.

Question 4

Email verification statuses

Accepted Answer

Prospects

Email verification statuses

Every email address can be checked before you send to it. The status shows as a badge next to the address.

Status

What it means

Should I send?

Valid / Verified deliverable

The mailbox exists and accepts mail

Yes

Accept all

The mail server accepts every address, so this one can't be confirmed

With care

Risky / Verified risky

It may bounce

Review first

Webmail

A personal address (for example Gmail)

Usually not for B2B

Disposable

A temporary address

No

Invalid / Verified undeliverable

The mailbox doesn't exist

No

Unknown / Not verified yet

Not checked, or the server didn't answer

Verify first

By default, Verify addresses before sending is on in Sending rules. Undeliverable addresses are skipped, and risky ones are held for your review.

Important: A verified address means the mailbox exists. It doesn't guarantee your email reaches the inbox or gets a reply.

Question 5

Team activity, metrics and the audit log

Accepted Answer

Team

Team activity, metrics and the audit log

Sales managers and administrators find these under Workspace in the sidebar.

Team activity

A timeline of what the team did. Search it, and filter by rep, event or source.

Team metrics

Sent vs. replies over time
Leaderboard and reply-rate ranking (reps with very few sends are ranked last, so a lucky first email doesn't top the list)
Pipeline per rep
AI and credit usage

Audit log

Outreach events, field changes, admin changes and sign-ins. Expand a row to see the details.

Question 6

Credits and top-ups

Accepted Answer

Credits and top-ups

Each plan includes a monthly allowance of three kinds of credits, shared by everyone in the workspace:

Email lookup credits

AI writing, reply suggestions, the Assistant and reading your website. One AI-written email with a revision uses about 7,000 tokens

See your usage under Billing → Overview → Usage & allowances. Each line shows Running low or Used up when it gets there.

What searches cost

Action

Cost

Email search by name, company or LinkedIn

A search that finishes without a result still uses its credits.

When you run out

The workspace owner can buy extra credits in Billing → Extra credits:

100 email lookup credits
100 enrichment credits
About 500 AI-written emails
About 2,000 AI-written emails

Extra credits need an active paid plan. They last until the end of the current billing period and don't roll over. Prices are shown in Billing before you buy.
